How to organize a meetup afterparty

How to organize a meetup afterparty without deciding everything at the door. Prepare a few options, share them before the closing remarks and let people choose where to go next.

IN THIS GUIDE

A good ending gives people a next step.

Pick two or three nearby places, check that they can accommodate your group and share a link or QR code before saying goodbye. Make the meeting point clear and keep it optional: anyone who wants to stay knows what to do.

BEFORE THE EVENT

Put a few options on the table.

Two or three places are a useful starting point. Look for a comfortable walk from the venue and check opening hours for that day, noise levels, prices and accessibility. Include an alcohol-free option if that suits your community.

BEFORE THE GOODBYES

Share while everyone is still together.

Put the QR code on your final slide and share the link in the event channel too. Do it before people start leaving. Explain that they can choose a place, see who is going and change their choice.

ON THE WAY OUT

Make it easy to find each other.

Name a recognizable meeting point, such as the main entrance, and an approximate departure time. Each person can open directions to their chosen place. If the group splits, that is fine: everyone does not need to pick the same option.

AFTERWARDS

Learn from the gathering.

Ask the organizer or a couple of attendees whether they found the group, whether the place worked and what they would change. Keep those notes for the next meetup. There is no need for another long survey at the end of the night.

The final slide. An open invitation.

“Want to keep the conversation going? Scan this QR code to choose a place and see who is joining. We’ll meet at [meeting point] at [time]. See you there!”

Replace the meeting point and time before using it. The kit includes an editable message and a slide with your QR code.

Common questions

Does it have to be a party?

No. An after can be coffee, food or a conversation somewhere nearby. The important part is a clear next step for people who want to stay.

What if I do not know the event location yet?

You can create your after and add the location later through the organizer link. Without that starting point, nearby suggestions and walking estimates from the event are unavailable.

Does after.builders reserve venues?

No. It helps people suggest places, say where they are going and open directions. The organizer should check opening hours, availability and any reservation requirements.

What do I need to create an after?

The event name, its last day and timezone. You can add the location and end time, or add the location later. Your first after can be created without an account; sign in to create another.

Which link should I share?

Share the public attendee link and its QR code. Keep the private organizer link to yourself: it allows editing. The kit only accepts public after.builders links.

When does the after close?

With an event end time, it closes six hours later. With just a date, it closes at 06:00 the following day in the event timezone. For a multi-day event, you can prepare a separate after for each day.
